The Challenge
The healthcare system’s lean team needed to create hundreds of diverse courses efficiently
Just five individuals make up the healthcare system’s corporate learning team, responsible for providing training for the organization’s 20+ hospitals. This includes the creation of more than 500 courses annually for their flagship hospital alone, as well as an annual course review and revision process for all e-learning content.
The organization’s training program is comprehensive, blending online courses with hybrid, instructor-led sessions. This training spans multiple domains, from onboarding to compliance and regulatory training, soft skills development, and technical training.
To meet these training needs, the corporate learning team has used Articulate since 2015 to create high-quality, results-driven training across their entire health system. They primarily rely on Storyline and Review to collaborate with subject matter experts (SMEs) and produce customized training, leaning on Rise for soft skills training.
While this approach has worked well, the organization knew there was room for improvement in their efficiency, specifically around their collaboration with SMEs. These experts provide valuable knowledge, but they aren’t trained in writing or instructional design. This can lead to inconsistent training that is either too long or too brief, and often missing key components like summaries. Moreover, the materials can fail to support learning outcomes—which is what training is all about.
The organization knew they had an opportunity to shorten their course production timelines and streamline SME content, and began searching for tools to help solve this.
The Answer

When Articulate’s AI Assistant was released, the hospital system’s Senior Instructional Designer began experimenting with ways she could leverage the tool to increase productivity and pare down content. The organization had already been using other AI Tools, such as ChatGPT, Copilot, and Claude, to accomplish this. But AI Assistant’s integrated, all-in-one nature enabled them to more fully maximize their productivity with AI.
“With AI Assistant, we could access AI features and produce courses all within the Articulate platform rather than having to utilize multiple different tools,” says the Senior Instructional Designer. “That was really important for us.”
For her first foray into the tool, she used AI Assistant to generate course summaries. She found that AI Assistant was particularly skilled at reducing large volumes of text effectively and generating quiz questions that fit learning goals, which significantly sped up the collaboration process with SMEs.
“To achieve better learning outcomes, we need concise content,” says the Senior Instructional Designer. “But we live in a clinical world, and text-heavy slides are a big issue for us. With AI Assistant, we could quickly clean up text, rewrite copy, and bring in voiceover and other elements to improve understanding and knowledge retention.”
She immediately noticed how AI Assistant was built with e-learning in mind, which, when compared to other AI tools, improved the quality of its output and cut down on development time. “You have to prompt other AI tools, like ChatGPT, to rewrite things for an e-learning context, but AI Assistant did this automatically,” says the Senior Instructional Designer. “It made my review time much quicker, and the accuracy was there.”
AI Assistant image generation capabilities also saved the organization significant time. “Rather than spending hours sifting through an image library, we could type in a few descriptors and have an AI-generated image to fit our needs,” says the Senior Instructional Designer.
Overall, she estimates that AI Assistant allows her to develop courses 18% faster. Her teammate, the organization’s Instructional Designer, echoes these sentiments. In particular, she appreciates the tool’s built-in prompting capabilities, which have led to better results.
“With any AI tool, the output is only as good as the prompt,” says the Instructional Designer. “I love how AI Assistant helps standardize prompting and gives sample prompts, which helps users of all experience levels get good results quickly.”
Due to the quality, speed, and integrated nature of AI Assistant, the tool has allowed the hospital system to streamline its tech stack. “I used to rely on multiple tools for course development, but now I only need AI Assistant because it’s tailored specifically for e-learning,” says the Instructional Designer.
